How dog grooming booking requests work
A booking request asks a groomer for an appointment. It is not a confirmed booking. Dog grooming booking software helps keep that request, the pet’s details, the diary and the conversation together while the business decides what it can offer.
This guide explains the request-to-confirmation workflow in LeadFetch’s dog grooming booking software. The groomer keeps control of suitability, pricing, availability and final confirmation, including any rules they choose for accepting requests.

1. The customer sends the details
A useful request gives the business enough information to decide what to discuss next: which pet needs an appointment, the service being requested and how to contact the customer. A returning customer’s request can also be considered alongside their existing pet records and visit notes.
In LeadFetch, customers can request an appointment through the groomer’s booking page. Where enabled, optional booking assistance helps them organise the details and find answers the business has approved. Customers review their information before sending it and can use the ordinary form instead.
2. The groomer reviews suitability and availability
The business checks whether it can provide the requested service and allow enough time. A gap in the calendar alone does not answer those questions. If more information is needed, the conversation should stay connected to the request so the details are available when it is reviewed.
The assistant cannot decide suitability, set a price, confirm an appointment or take a payment. Those limits remain the same even when assistance is enabled.
3. Make the proposed appointment clear
The customer needs to understand the service, the proposed time, the price and anything still required from them. A suggested time is a proposal until the business’s booking process confirms it.
For the salon, the useful question is whether a request still needs attention, is waiting for something, or has become a confirmed appointment. For the customer, the booking status should make clear whether they can plan to attend.
4. Complete any requested payment step
When Stripe is connected, LeadFetch supports online payments or deposits and keeping a card on file. The customer should check what they are being asked to pay or authorise, along with the business’s booking and cancellation terms.
A payment step alone is not booking confirmation. Card details are collected by Stripe, and a saved card does not guarantee that a later payment will succeed.
5. Check confirmation and keep the details together
Once the appointment is confirmed, the customer should be able to identify the agreed service and time. LeadFetch brings the diary, customer and pet records, visit notes and conversations together, so the business can refer back to the appointment details.
Email supports confirmations, reminders, appointment changes and replies. WhatsApp features depend on the business’s connection being ready and on the type of message and permissions involved. Customers can use the booking system without WhatsApp.
A fictional example
A customer asks for a full groom for Milo. The salon needs more information before deciding which appointment it can offer, so the request remains open while they discuss the details.
After reviewing suitability, time and price, the salon explains its offer and any required payment step. The customer checks the booking status for confirmation. Sending the original request or completing a payment step does not, by itself, mean that Milo has a confirmed appointment.
What to check when choosing a booking system
Ask whether you can distinguish requests from confirmed appointments, review the pet’s details before deciding, keep replies with the booking and explain the next step clearly to the customer. Check which payment and messaging features need separate setup before relying on them.
