LeadFetch helps people find independent pet businesses and send an organised enquiry to the business they choose. AI may help ask follow-up questions and organise answers, but the pet business keeps control of suitability, prices, availability, approval and final confirmation. LeadFetch does not sell personal information or use enquiry content for advertising.
Who is responsible for your information?
LeadFetch is operated by Scott Banks, a sole trader trading as LeadFetch, at 32 Greenmount Road, Darlington, DL3 8EP, United Kingdom. Contact: scott@leadfetch.co.uk. The Legal information page contains the full provider details.
Directory visitors, listed businesses and LeadFetch accounts
LeadFetch is the controller for the public directory, its own website, business sign-up and account administration, support, billing, security and service improvement.
Pet-owner enquiries
The named groomer, trainer or other pet business normally decides why and how its customer enquiries are used and is the controller. LeadFetch provides the enquiry system and normally acts as that business’s processor. LeadFetch is separately responsible as controller for its own security, legal and operational records.
Information we collect
When you search or use the directory
- Your search category and a location, outward postcode or selected area.
- Coordinates supplied by your browser only when you choose “Use my current location”. They are used to find the nearest postcode area and are not saved as an enquiry or customer profile.
- Cookie-free, first-party product events such as a search, profile view, claim start or enquiry start. These records contain the event time, listing or business identifier, broad category and counts, but no visitor identifier, IP address, user agent, raw search, postcode, coordinates or enquiry content.
When you send an enquiry
- Your name, email address, telephone number and contact preference.
- Your own words, requested service, availability, and information you choose to provide about your pet, handling needs or training goals.
- For new dog-training enquiries, the complete booking-assistant conversation, including your messages, its replies and any corrections, so the trainer can review the original exchange alongside the organised enquiry.
- Your postcode where the pet business needs to check whether you are within its service area, and a full service address only when needed for a proposed mobile appointment.
- Optional saved contact and pet details when you actively choose that feature.
- Enquiry status, proposed appointment times, confirmations, communications and an audit history of relevant actions.
When you represent a pet business
- Business name, type, website, postcode, public service information and profile content.
- Your name, work contact details, role, sign-in and verification records, account settings and communications with LeadFetch.
- Your optional marketing-email choice, including when and how it was made, the wording shown and any later withdrawal.
- For profile claims, corrections or removals, the request and evidence reasonably needed to verify your connection to the business.
- For paying clients, billing contacts, subscription amount, collection date, invoices, payment status and GoCardless references. Bank details are entered directly with GoCardless and are not received or stored by LeadFetch.
Technical and security records
LeadFetch processes limited request, device and security information needed to deliver and protect the service. For rate limiting, an IP address is converted into a scoped cryptographic hash rather than stored in readable form, and the counter expires with its short security window. Authorised sign-ins and important account actions also create security and audit records.
Please do not include payment-card details, veterinary records or unnecessary information about another person in an enquiry. LeadFetch is designed for adults arranging pet services, not for children.
Directory profiles and information collected elsewhere
LeadFetch may create a limited, unclaimed profile from business information already made public. That information can be personal data where it identifies a sole trader, partner or named contact. LeadFetch is the controller for this use.
Sources and profile content
Sources can include Overture Places data, an authorised business-data export, the business’s official website and public search results used only to locate that official site. LeadFetch keeps evidence of the source and checked date for imported facts, but does not keep a copy of a business’s raw website pages. Search results used to discover an official site are transient.
A profile may include the trading name, business category, locality or outward postcode, website, verified public contact details, a neutral summary and source-supported services or opening information. LeadFetch does not import provider reviews, ratings, map links or photographs for publication. Before owner confirmation, personal-looking email addresses are kept private and mobile numbers are not displayed. Limited company profiles do not publish an individual’s public email or telephone number merely because it appeared in source data.
Why we use it
LeadFetch uses limited business facts to help people find suitable local businesses, maintain an accurate directory, avoid duplicate profiles and let a business claim, correct or remove its record. The lawful basis is legitimate interests. LeadFetch records and reviews the purpose, necessity and impact of this use, limits what is published, and provides a human review route and a right to object.
Where Article 14 of the UK GDPR applies, LeadFetch sends a privacy notice to a source-backed contact address no later than the earlier of one month after obtaining the information, first contacting the person, or first disclosing the information. Email-provider acceptance is an operational publication check; it is not treated as consent, owner approval or proof that the notice was read.
Claim, correction and removal requests
A request may include the requester’s name, work email, optional telephone number, role, preferred contact method, request details and a website or social profile used as evidence. A requester may also propose public location and service-area information. This evidence stays private and is used to prevent fraudulent claims and review the request.
Every claim, correction or removal request is reviewed by a person. A verified self-signup may publish a new owner-supplied profile immediately when it is inside the live directory area and does not match an existing profile. A possible duplicate stays private for review, and no self-signup activates the paid enquiry service. To review a profile, object, correct information or ask for removal, use the links on the profile or notice, reply to the notice, or email scott@leadfetch.co.uk.

Providing marked enquiry and account fields is necessary to send the request, verify access or provide the chosen service. If they are not provided, LeadFetch may be unable to complete that action. Saved-pet details, browser location, optional telephone fields and marketing-email permission are voluntary.
Marketing-email permission is never required to sign up or claim a profile. Every marketing email will provide a way to unsubscribe; you can also withdraw permission by replying or emailing scott@leadfetch.co.uk.
AI and automated processing
LeadFetch may send relevant enquiry text and structured pet or service details to the OpenAI API to identify useful information, ask a follow-up question and prepare a summary. It may also use the API to turn facts found on a business’s official website into a structured directory draft for human-controlled publication. Requests are configured not to store application state. Under OpenAI’s standard API controls, limited abuse-monitoring data may still be retained for up to 30 days.
- LeadFetch does not opt API content into model training, and OpenAI states that API inputs and outputs are not used to train its models by default.
- AI does not confirm appointments, set prices, diagnose conditions or decide whether a pet or customer is suitable.
- The pet business receives the customer’s original words and makes every substantive booking decision.
- Directory publication follows LeadFetch’s controlled eligibility and duplicate rules; claims, corrections, removals and protected profile changes remain subject to human review.
LeadFetch does not make a solely automated decision that produces legal or similarly significant effects for you.
How long information is kept
- Enquiries: kept according to the participating business’s documented setting and instructions. Completed enquiries can be deleted after the configured period; the current service supports periods from 30 days to seven years, with 365 days as the default. Legal holds or unresolved disputes may require longer retention.
- Request links: normally expire after 14 days.
- Saved pet details: kept until you ask for deletion, they are no longer needed, or the participating business leaves LeadFetch. The device cookie expires after 180 days; deleting it signs the device out but does not delete the server record.
- Cookie-free product events: kept for 90 days, then deleted.
- Directory profiles: an unclaimed profile is due for official-source review after 180 days and hidden after 365 days without renewed verification.
- Directory requests: contact details, evidence and private free-text review notes for a completed claim, correction or removal request are deleted after 180 days.
- Article 14 records: notice and email evidence for a claimed, removed or otherwise closed profile is kept for up to 730 days, then deleted when no request or delivery attempt remains active.
- Marketing-email permission: the active consent record is kept while you remain subscribed. After withdrawal, LeadFetch keeps a limited suppression record for as long as reasonably needed to avoid contacting you again.
- Removed directory profiles: a minimal discovery identity is retained to prevent the same public source being imported again. It is reviewed annually while the directory-import programme continues.
- Business and financial records: contracts, invoices and payment-status records are normally kept for six years after the relevant accounting period or contract ends, whichever is later.
- Security records: expired or used access tokens, sessions and rate-limit records are removed through scheduled housekeeping. Audit or incident evidence may be kept longer where it is needed to investigate misuse, demonstrate compliance or resolve a dispute.
Your data-protection rights
Depending on the information and lawful basis, you may have the right to:
- ask for access to your personal information;
- have inaccurate or incomplete information corrected;
- ask for deletion or restriction of processing;
- receive information you provided in a portable format;
- object to processing based on legitimate interests, including an unclaimed directory profile;
- withdraw consent at any time, without affecting earlier lawful processing; and
- receive information about safeguards used for an international transfer.
These rights are not absolute. LeadFetch will explain any lawful reason for not completing a request. There is normally no charge, although a reasonable fee may apply to a manifestly unfounded or excessive request. LeadFetch may ask for proportionate evidence of identity and will normally respond within one calendar month. The period may be extended by up to two further months for a complex or repeated request, with an explanation given within the first month.

Contact, security and complaints
LeadFetch uses encrypted connections, restricted access, tenant-separated records, hashed access tokens, secure cookies, private storage controls and auditable actions. No online service can promise absolute security.

To make a data-protection complaint, email scott@leadfetch.co.uk with enough detail to understand the concern. LeadFetch will acknowledge it within 30 days, investigate fairly, keep you informed where more time is needed and provide an outcome without undue delay.
You may also complain to the Information Commissioner’s Office. You do not have to complain to LeadFetch first, although doing so may allow the issue to be resolved more quickly.
This notice is reviewed as the service changes. A material new use of personal information will be explained before it begins where the law requires it.
